COWBOY BUCK$ Terms and Conditions

 

  1. This contract is executed between the Cardholder and New Mexico Highlands University (NMHU). This contract pertains to the creation of a spending account (COWBOY BUCK$), which is an option available to students, employees, faculty, and staff of NMHU (through university-issued ID Cards) and other individuals/guests designated by NMHU (i.e., Gift Card). “Flex Dollars” are covered under the resident meal plan agreement and are separate from this agreement.

 

  1. The term of this contract begins when an initial deposit is made to the NMHU ID Card COWBOY BUCK$ account and ends when the Cardholder graduates or withdraws from the University (students), terminates employment (faculty/staff/employees), or the Cardholder’s card expired (other individuals/guests). By depositing funds in the COWBOY BUCK$ account the Cardholder acknowledges receiving and agreeing to these terms and conditions.

 

  1. The COWBOY BUCK$ account is a record of pre-deposited funds accessed for the purpose of purchasing products and services at NMHU. Vending locations shall include retail services at the university: the NMHU Bookstore, Convenience Store, Einstein’s Brothers, Purple Brew Coffee Shop, and most vending machines.

 

  1. The COWBOY BUCK$ account shall be activated by the NMHU Office of Campus Life (with general responsibilities of activating NMHU ID Cards) upon proper verification of University status (Enrolled Student, Faculty/Staff, Alumnus, Board of Regents, Retirees, Guest) and an initial minimum deposit of ten U.S. dollars (US $10.00). The maximum deposit which NMHU will accept for a COWBOY BUCK$ account shall be limited to $1,500.00 [or insert other preferred amount] at any time. Deposits may be made: (1) In person at the Cashier in the NMHU Business Office (204 Rodgers Administration Building) by cashier’s check, money order, or credit card; (2) by mail with a cashier’s check, money order, or credit card (NMHU, Attn: Cahiers Office, PO Box 9000, Las Vegas, NM 87701; (3) by telephone with a credit card only (with a $5 convenience fee charged); or, (4) on-line at www.nmhu.edu with a credit card. The university accepts most major credit cards. All deposits received by mail will be credited to the COWBOY BUCK$ account no later than 2:00 p.m. on the third business day after receipt.

 

  1. After initial activation, additional deposits may be made at any time in the amount of ten U.S. dollars (US $10.00) or more via the preceding methods.

 

  1. There is no daily limit on the number of purchases that may be made and debited; however, no debits or charges shall exceed the amount of available funds deposited on the COWBOY BUCK$ account. A daily limit of $50 shall be imposed on purchases at automated vending machines [or ATM’s] on the NMHU campus in order to protect the Cardholder from fraudulent uses of a lost card. NMHU reserves the right to revise deposit and spending limits on COWBOY BUCK$ account as necessary from time to time.

 

  1. Any transaction(s) processed during an off-line mode will be charged to the account and will be updated upon reinstatement of the system. If this results in a negative account balance, the Cardholder will need to make a deposit to the COWBOY BUCK$ account and the negative balance must be satisfied before other transactions will be processed.

 

  1. A printed receipt will be available upon request from any location that utilizes a cash register. No receipt will be available from vending locations.

 

  1. No interest shall be paid on any balance in the COWBOY BUCK$ account.

 

  1. The Cardholder understands and agrees that COWBOY BUCK$ account shall not be used as a credit card or to obtain cash advances. Any credit resulting from the return of merchandise will be re-deposited to the COWBOY BUCK$ account.

 

  1. The Cardholder understands and agrees that COWBOY BUCK$ account is non-transferable. Additional identification may be required to ensure that only the Cardholder uses the account. The Cardholder may be required to sign a receipt for goods or services. The University may require a second form of identification.

 

  1. The Cardholder’s NMHU ID Card (for students, faculty, staff) will be the access device for COWBOY BUCK$. Access devices for guests and visitors will be a gift card. The card must be presented at the time of purchase and shall be the only means of accessing the Cardholder’s account. The COWBOY BUCK$ account is closed at the end of this contract. Refunds on closed accounts will be made at the full value of the unused balance except that no refunds will be made for balances less than $1.00. Refund requests can be made in person or in writing to the NMHU Cashier’s Office. Refunds will be credited to the cardholder’s student account in the NMHU Business Office within five (5) business days. All debts on the Cardholder’s Student Account must be satisfied before a refund check is processed. The University reserves the right to charge a service fee for refund requests. The University reserves the right to close any COWBOY BUCK$ account that has been inactive for a period of twelve (12) months and no refund will be available after that time.

 

  1. NMHU reserves the right to determine hours of operation and pricing for the goods and services available for purchase with the COWBOY BUCK$ account.

 

  1. A fee will be charged for replacement of damaged, lost, or stolen cards. Consistent with the NMHU ID Cards, the fee for replacing damaged, lost, or stolen cards is $25.

 

  1. Only cashier’s checks, money orders, and credit cards will be accepted by the NMHU Business Office for deposits towards COWBOY BUCK$. Personal checks will not be accepted.

 

  1. If your card is lost or stolen, you must notify the Office of Campus Life immediately via website or email to suspend activity on the COWBOY BUCK$ account. If a Cardholder’s COWBOY BUCK$ card is lost or stolen, the Cardholder must notify the Office of Campus Life immediately via website or email to suspend activity on the COWBOY BUCK$ account. NMHU shall not be responsible for any losses resulting from the unauthorized use of a Cardholder’s COWBOY BUCK$ card.

  1. A statement of account shall be generated upon request to the Business Office. No statement will be regularly generated. If there is an error on a receipt or activity statement, or if the Cardholder would like more information about specific transactions, the Cardholder should contact the Business Office within forty-five (45) days in person or in writing of noticing the error. The Business Office will conduct a thorough investigation of the request and provide a written report within twenty (20) business days. If the error is validated, the Business Office will make the necessary adjustments.

 

Upon separation from the university, patrons may request a refund of COWBOY BUCK$ balances of greater than $1. Requests for refunds may be made up to three (3) weeks after separation from the university. Visitors and guests issued gift cards with COWBOY BUCK$ may not request a refund. University staff will need to be able to confirm separation from the University before refund requests will be approved.
